Follow-ups and callbacks

Follow-ups are created automatically from field outcomes and stay attached to the property record with callback timing visible across your workspace.

Overview

Every time a rep logs an outcome in the field—"Call back tomorrow," "Not home," "Need to talk to spouse"—KnockTracer can create a follow-up record that stays attached to that property. The callback date and time you set in the field travels with the address, so you'll see exactly when to return, whether you're planning tomorrow's route or reviewing overdue touches from the office.

Follow-ups appear in three places: the dedicated Follow-ups screen, inside the property detail card (where you see the full touch history), and as pins on the live map when you filter by due date. This means callback timing is never buried—it's always visible to the rep who needs to act and the manager who needs to coach.

How To

  1. **Log a field outcome that requires a callback**

While standing at a door, tap the outcome that matches the conversation—"Call back later," "Not interested today," or "Needs more time." If the outcome includes a follow-up option, you'll be prompted to choose a time: "Tomorrow morning," "This evening," "Next week," or a custom date and time.

  1. **Set the callback date and time**

Select the best-fit option or tap "Custom" to pick a specific day and hour. KnockTracer calculates the due date and attaches it to the property. If you're offline, the follow-up is queued and syncs when your device reconnects.

  1. **Review follow-ups from the Follow-ups screen**

Open the Follow-ups view to see every callback organized by due date: overdue in red, today in amber, and upcoming in gray. Each row shows the property address, the last outcome, the rep who logged it, and the target callback time.

  1. **Complete or reschedule the follow-up**

Tap into a follow-up record to see the full touch history and property detail. Mark it complete by logging a new outcome (which can create a new follow-up if needed), or reschedule it by editing the due date directly.

  1. **Filter the map by follow-up status**

From the map view, toggle the "Follow-ups due" filter to see only properties with active callbacks. Color-coded pins show overdue, today, and tomorrow, making it easy to build a route around time-sensitive touches.

  1. **Track follow-up completion in leaderboards**

Managers can see follow-up completion rate by rep in the Leaderboards view. This metric shows how many callbacks were honored on time versus missed, helping you identify coaching opportunities and recognize consistent follow-through.

Tips

  • **Use preset times for speed.** "Tomorrow morning" and "This evening" cover 80% of callbacks and require just one tap, so reps can set follow-ups without slowing down in the field.
  • **Attach notes to callback outcomes.** When you log "Call back tomorrow," add a quick note like "Husband wants to review contract" or "Ask about current bill." The next rep to knock (or the same rep tomorrow) will see that context immediately.
  • **Prioritize overdue follow-ups in morning standup.** Start each day by reviewing the red-flagged callbacks. Assign them to nearby reps or build a short "catch-up route" before starting the day's primary territory.
  • **Let the system create natural next steps.** If a prospect says "Not now," log that outcome and set a 30-day follow-up. KnockTracer will surface the property again when the timing is right, without requiring manual calendar entries.

Questions

**Q: What happens if I miss a follow-up callback date?** A: The follow-up stays active and moves into the "overdue" section, highlighted in red. It remains visible in the Follow-ups screen and on the map until you log a new outcome or manually close it. Overdue follow-ups also appear in manager dashboards so leadership can help redistribute time-sensitive touches.

**Q: Can I reassign a follow-up to a different rep?** A: Yes. Open the follow-up record, tap "Reassign," and choose the new rep. The callback timing and property history stay intact, so the new rep has full context. This is useful when territories shift or when a prospect specifically requests a different team member.
