Overview
Workspace admins can grant different permission levels to sales reps, managers, and operations staff. Permissions control who can work locations, assign territories, manage follow-up tasks, queue install handoffs, and change workspace-wide settings. Clear permission boundaries keep your field data accurate and prevent accidental changes to active accounts or territory assignments.
How To
- **Open workspace settings**
Navigate to **Settings** from the main menu, then select **Team** to view all workspace members and their current roles.
- **Review permission levels**
KnockTracer offers three permission tiers:
- **Rep** – Can knock doors, save prospects, log dispositions, and manage their own follow-ups
- **Manager** – All rep permissions, plus assign territories, view team leaderboards, and manage playbooks
- **Admin** – Full workspace access, including team permissions, integrations, commissions, and billing
- **Assign or update a role**
Click the role dropdown next to a team member's name, select the new permission level, and confirm. Changes take effect immediately.
- **Control territory assignment**
Only managers and admins can assign or reassign territories. Reps can view their assigned territories under **Territories** but cannot claim new markets without manager approval.
- **Manage follow-up visibility**
Reps see only their own follow-ups by default. Managers and admins can view and reassign follow-ups across the entire workspace under **Follow-ups**.
- **Set handoff and integration access**
Only admins can queue install handoffs, configure partner integrations, and adjust workspace-wide rules under **Integrations** and **Settings**.
Tips
- **Start reps with rep-level access** until they're comfortable with the knock workflow and mobile app, then promote high performers to manager if they'll oversee a team.
- **Limit admin seats** to one or two people who manage billing, partner feeds, and workspace-wide settings—this prevents accidental changes to commission structures or integration endpoints.
- **Use manager permissions for team leads** who need to assign routes, review leaderboards, and coach reps without exposing billing or integration settings.
- **Audit roles monthly** to remove access for former team members and ensure current assignments match your org chart.
Questions
**Can a rep see another rep's prospects?** Reps can see all prospects on the map and in the **Prospects** table, but they can only edit, log dispositions, or create follow-ups for prospects in their assigned territories or that they personally saved.
**What happens if I change someone from manager to rep?** They'll lose the ability to assign territories, view workspace-wide leaderboards, and manage other reps' follow-ups. Any territories they previously assigned will remain intact, but they won't be able to make new assignments. ```
